Why do I need CZ Imaging?


Your business may require your employees to maintain access to certain documents and your employees may not always be available at your location. With our service, we will allow them to retrieve the documents as needed. With different levels of access, your business will have control over what information is shared. We offer easy to use document management, fast and secure.



What kind of company use our services?
Almost any business that deals with documents in storage can use our services. We will increase your productivity by reducing the amount of time it takes for your employees to search, find and copy documents from your file cabinet or storage. Not to mention free office space that you will gain. Most offices can take advantage of that, including but not limited to: Attorneys, Doctors, Dentists, HOA Management, Mortgage Brokers, Engineers, Insurance Agents and Sales offices.


Are my scanned documents being backed-up?

All of our data are backed-up daily in-house and off-site to another state, and we don't take this responsibility lightly. In the event of a tragedy, in most cases we will restore your access to your documents within hours or will be able to email you requested documents.


What happens with my originals?

That's your choice, we can shred it for you, store it for you, or we can return all originals to you and you may store it at a location of you choice, for as long as you need. Remember, all documents scanned will be available to you securely over the web, or in a media of your choice (CD/DVD), where you can print from, email or simply read as many times as you like, from anywhere in the world.


Why shred the originals?

We highly recommend shredding the original documents if such practice is allowed in your industry, we stay with your documents until they are destroyed. Additionaly, we recommend shredding for the following reasons:
  • Security - It will not go to the wrong hands, only you will have access to the scanned documents with your own unique user ID and password through secure website.
  • Recycling - Once shredded, your documents will be helping our environment, recycled into new paper products.
  • Storage - Additional office space will be available for new documents or expansion.
 
When will my documents be available on the web?

The initial setup and preparation of your account may take one to two weeks, afterwhich your scanned documents will be available at our site. The volume of documents will be determined by your budget. How quickly do you need your free space? We can add new documents on a monthly or even weekly basis, whichever works best for you.


For how long will my documents be available on the web?

As long as you need. You may even tell us when documents expire and are no longer needed so we can remove it from the database to reduce your search lists, so you can focus on current files. The removed files may be kept for longer, out of the database, for as long as you need.


Why do I have to pay a maintenance fee?

A maintenance fee is charged to insure that we provide you the same quality service as long as you need, even when your needs change.
